This position plays a critical role in ensuring every event delivers an exceptional attendee experience while meeting operational, logistical, and client expectations. Working alongside Event Managers, Production Teams, Marketing, Sales, Hospitality, and Vendor Partners, the Event Operations Associate will coordinate event logistics, venue operations, registration management, supplier communications, transportation schedules, production timelines, and on-site execution.

Essential Duties and Responsibilities

  • Coordinate operational planning for conferences, trade shows, executive meetings, corporate events, product launches, and networking programs.
  • Support end-to-end event logistics including venue coordination, floor plans, registration, transportation, accommodations, catering, and event scheduling.
  • Assist with development and maintenance of detailed event production timelines and operational checklists.
  • Coordinate with hotels, convention centers, production companies, exhibitors, sponsors, catering partners, and transportation vendors.
  • Manage attendee registration platforms and ensure accurate participant records and communications.
  • Monitor vendor performance and verify contractual obligations are delivered according to event specifications.
  • Assist in preparing event operation manuals, staffing schedules, emergency procedures, and event documentation.
  • Coordinate shipment and distribution of event materials, signage, promotional assets, equipment, and branded merchandise.
  • Conduct venue walkthroughs and pre-event inspections to verify readiness and compliance with operational plans.
  • Support on-site event execution by coordinating setup, registration, speaker readiness, VIP hospitality, exhibitor support, and attendee services.
  • Troubleshoot operational issues during live events while maintaining exceptional client service standards.
  • Track event budgets, purchase orders, invoices, and operational expenses to ensure financial accuracy.
  • Collaborate with marketing teams on event branding, promotional materials, and attendee communications.
  • Collect post-event feedback, operational metrics, and lessons learned to improve future event execution.
  • Maintain accurate records of vendor agreements, permits, insurance certificates, and event compliance documentation.
  • Ensure all activities comply with company policies, venue regulations, and health and safety requirements.

Job Qualifications and Requirements

  • Bachelor’s degree in Event Management, Hospitality Management, Business Administration, Marketing, Communications, Tourism, or a related field preferred.
  • 2–5 years of experience supporting corporate events, conferences, hospitality operations, or event logistics.
  • Experience coordinating multi-day events with large attendee groups is highly desirable.
  • Strong knowledge of event planning processes, venue operations, registration systems, and vendor coordination.
  • Familiarity with event management platforms such as Cvent, Eventbrite, Bizzabo, or similar software is preferred.
  • Experience managing event budgets, purchase orders, and operational documentation.
  • Excellent organizational and project management skills with strong attention to detail.
  • Ability to manage multiple projects while meeting strict deadlines.
  • Strong Microsoft Office skills including Excel, PowerPoint, Outlook, and Word.
  • Ability to travel domestically as required to support event operations.
  • Availability to work evenings, weekends, and extended hours during live events.
  • Knowledge of health, safety, and emergency event procedures is advantageous.

The Event Operations Associate serves as a key operational partner supporting the successful delivery of high-profile corporate events that strengthen client relationships, enhance brand reputation, and drive business growth. This role collaborates closely with Event Leadership, Marketing, Sales, Client Services, Finance, and external vendors to ensure operational excellence throughout every stage of the event lifecycle.

Through effective planning, vendor coordination, logistics management, and continuous process improvement, the Event Operations Associate contributes to delivering memorable experiences while supporting organizational objectives, operational efficiency, and long-term client satisfaction.


Working Conditions

  • Primarily based in Houston, Texas, with frequent on-site event responsibilities.
  • Regular travel to hotels, convention centers, exhibition venues, and client locations.
  • Fast-paced environment with multiple concurrent projects.
  • Ability to stand and walk for extended periods during live events.
  • Occasional lifting and movement of event materials and equipment.
  • Evening, weekend, and holiday work may be required based on event schedules.
  • Frequent interaction with clients, vendors, executives, sponsors, exhibitors, and attendees.

Compensation & Benefits

Compensation Package: $70,000 – $100,000 annually, based on experience, event portfolio, and overall qualifications.
