The Enrollment Specialist will serve as a trusted enrollment operations partner responsible for helping customers, members, students, patients, or participants move through enrollment with confidence. This role requires strong communication, careful follow-up, accurate documentation, problem-solving, system discipline, and the ability to coordinate with multiple teams to remove barriers and complete enrollments successfully.

The selected candidate will work closely with Customer Support, Customer Success, Admissions, Member Services, Operations, Billing, Compliance, Finance, Sales, Program Management, Data Analytics, Technology, and leadership teams to ensure enrollment records are complete, eligibility requirements are met, customer questions are answered, and enrollment issues are resolved quickly.

Your Role at the Company

As Enrollment Specialist, you will support the end-to-end enrollment process for customers, members, students, patients, participants, or client accounts while ensuring accuracy, responsiveness, documentation quality, and a positive onboarding experience.

You will be responsible for reviewing enrollment information, verifying required details, communicating next steps, resolving missing documentation, entering and updating records, supporting eligibility checks, coordinating with internal teams, and helping individuals complete enrollment successfully.

You will serve as a professional point of contact during the enrollment journey while maintaining accountability for service quality, data accuracy, timely follow-up, compliance with process requirements, and clear communication.

The ideal candidate combines customer service strength, administrative accuracy, process discipline, technology comfort, strong organization, and the ability to manage multiple enrollment cases in a fast-paced remote environment.

What You’ll Do

Manage enrollment inquiries, applications, onboarding records, eligibility information, customer documents, and enrollment status updates across assigned programs or service areas.

Guide customers, members, students, patients, or participants through enrollment steps by explaining requirements, timelines, documentation needs, account setup, and next actions clearly.

Review enrollment submissions for accuracy, completeness, eligibility requirements, missing information, duplicate records, inconsistent details, and documentation gaps.

Enter, update, and maintain enrollment information in CRM, enrollment systems, customer databases, case management tools, or internal business platforms.

Communicate with applicants, customers, members, students, patients, employer groups, partners, or internal teams through phone, email, chat, ticketing systems, and digital workflows.

Coordinate follow-up on missing documents, incomplete forms, eligibility questions, identity details, payment status, approval steps, program requirements, or account setup needs.

Partner with Customer Support, Admissions, Member Services, Billing, Sales, Compliance, Operations, Finance, and Program teams to resolve enrollment issues and keep cases moving.

Support enrollment verification activities, including eligibility checks, account validation, document review, benefit or program confirmation, and required approval workflows.

Track enrollment activity, case status, pending items, follow-up deadlines, completion rates, processing delays, and customer communication history.

Escalate complex enrollment issues, compliance concerns, system errors, customer complaints, billing conflicts, eligibility disputes, or high-priority cases to the appropriate team.

Maintain accurate documentation of enrollment decisions, customer interactions, verification steps, missing items, issue resolutions, and next steps.

Support onboarding and activation processes by ensuring records are complete, customers are properly routed, systems are updated, and handoffs are clear.

Identify recurring enrollment barriers, unclear instructions, process delays, data quality issues, documentation gaps, and system workflow problems.

Contribute to process improvement by recommending better templates, clearer communication, stronger documentation, automation opportunities, and more efficient enrollment workflows.

What You’ll Bring

3+ years of experience in enrollment support, customer onboarding, admissions support, member services, healthcare administration, education services, customer service, client operations, case coordination, or administrative operations.

Experience working within healthcare technology, digital health, education technology, workforce learning, insurance, benefits administration, financial services, SaaS, customer operations, or enterprise services environments preferred.

Strong understanding of enrollment workflows, customer onboarding, documentation review, eligibility verification, case tracking, customer communication, and service follow-up.

Experience using CRM, enrollment, ticketing, case management, customer support, or administrative systems such as Salesforce, HubSpot, Zendesk, ServiceNow, Freshdesk, Slate, Ellucian, Workday, Epic, Athenahealth, Google Workspace, Microsoft 365, Slack, or similar platforms preferred.

Strong attention to detail with the ability to review records, identify missing information, validate data, and maintain accurate documentation.

Excellent written and verbal communication skills with the ability to explain enrollment steps, request information, manage expectations, and support customers professionally.

Ability to manage multiple enrollment cases, follow-up queues, deadlines, pending documents, customer questions, and internal coordination needs.

Familiarity with privacy, confidentiality, compliance, data security, customer verification, or regulated documentation practices preferred.

Experience supporting remote workflows, digital documentation, virtual customer communication, shared records, and cross-functional case resolution.

Ability to work with Customer Support, Customer Success, Admissions, Member Services, Operations, Billing, Compliance, Finance, Sales, Program Management, Technology, and Data Analytics teams.

High school diploma or equivalent required.

Associate degree, bachelor’s degree, healthcare administration training, education administration coursework, customer success certification, or operations training preferred.
