About the Opportunity

We are seeking a highly organized and proactive Assistant Project Manager to support the planning, coordination, execution, and successful delivery of projects across the organization. This role works closely with Project Managers, department leaders, clients, vendors, and cross-functional teams to ensure projects remain on schedule, within scope, and aligned with business objectives.

The Assistant Project Manager will support project planning, documentation, scheduling, risk tracking, status reporting, stakeholder communication, and resource coordination. The ideal candidate is detail-oriented, dependable, comfortable managing multiple priorities, and capable of working effectively with distributed teams in a remote environment.


Essential Duties and Responsibilities

  • Support Project Managers in planning and executing projects from initiation through completion.
  • Maintain project schedules, timelines, milestones, deliverables, and action-item trackers.
  • Coordinate meetings, prepare agendas, document decisions, and distribute meeting notes.
  • Track project progress and communicate status updates to project stakeholders.
  • Assist with resource planning, task assignments, and workload coordination.
  • Maintain project documentation, reports, contracts, requirements, and project records.
  • Monitor project budgets, expenses, invoices, and financial tracking as assigned.
  • Identify potential project risks, issues, dependencies, and schedule conflicts.
  • Maintain risk and issue registers and support mitigation activities.
  • Coordinate communication between internal teams, clients, vendors, and external partners.
  • Assist with change requests and ensure project scope remains properly documented.
  • Prepare project dashboards, presentations, status reports, and executive summaries.
  • Follow up with team members on outstanding deliverables and deadlines.
  • Support quality assurance and project governance processes.
  • Assist with project closeout, documentation, lessons learned, and post-project reviews.
  • Identify opportunities to improve project management processes, templates, and workflows.

Job Qualifications and Requirements

  • Bachelor’s degree in Business Administration, Project Management, Operations, Information Technology, or a related field preferred.
  • Minimum 2–4 years of experience in project coordination, project management, operations, or business administration.
  • Familiarity with project management methodologies such as Agile, Scrum, Waterfall, or hybrid approaches.
  • Experience with project management platforms such as Asana, Monday.com, Jira, Smartsheet, Trello, or Microsoft Project.
  • Strong proficiency with Microsoft Office and Google Workspace.
  • Strong organizational, documentation, and reporting skills.
  • Excellent written and verbal communication abilities.
  • Strong problem-solving and prioritization skills.
  • Ability to manage multiple projects, deadlines, and stakeholders simultaneously.
  • CAPM, PMP coursework, Scrum certification, or related credentials are a plus.

Working Conditions

  • Fully Remote position within the United States.
  • Standard Monday through Friday business schedule.
  • Flexible hours may be available depending on project and client requirements.
  • Frequent virtual collaboration with Project Managers, clients, vendors, and distributed teams.
  • Primarily computer-based work using project management, communication, reporting, and collaboration platforms.
  • Occasional virtual presentations, project reviews, and company meetings.

Compensation & Benefits

Compensation Package: $115,000 – $175,000 annually, based on project management experience, technical proficiency, industry background, project complexity, and overall qualifications.
