Essential Duties and Responsibilities
- Provide daily administrative support to department leaders and cross-functional teams.
- Manage calendars, schedule meetings, coordinate conference rooms, and organize company events.
- Prepare, edit, proofread, and distribute business correspondence, reports, presentations, and other documents.
- Answer and direct incoming phone calls, emails, and visitor inquiries in a professional manner.
- Maintain office filing systems, electronic records, and confidential business documentation.
- Coordinate office supplies, equipment inventory, vendor orders, and facility requests.
- Process incoming and outgoing mail, courier deliveries, and shipping requests.
- Assist with travel arrangements, expense reports, and meeting logistics for employees and executives.
- Support onboarding activities by preparing workstations, documentation, and administrative materials for new employees.
- Maintain office policies, administrative procedures, and operational documentation.
- Assist Finance with invoice processing, purchase requests, expense reconciliation, and administrative recordkeeping.
- Coordinate with Human Resources on employee communications, training schedules, and company events.
- Monitor office operations and identify opportunities to improve administrative efficiency.
- Maintain professionalism and confidentiality when handling sensitive business information.
- Provide additional administrative support for special projects and organizational initiatives as assigned.
Job Qualifications and Requirements
- High school diploma or equivalent required; Associate’s or Bachelor’s degree in Business Administration or a related field preferred.
- Minimum 2 years of administrative, office support, receptionist, or executive support experience.
- Strong knowledge of office administration principles and business operations.
- Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
- Experience using document management systems, scheduling software, and office productivity tools.
- Excellent written and verbal communication skills.
- Strong organizational, multitasking, and time management abilities.

Compensation & Benefits
Compensation Package: $80,000 – $120,000 annually, based on administrative experience, technical skills, and overall qualifications.
