Essential Duties and Responsibilities

  • Provide comprehensive administrative support to executives, department leaders, and cross-functional teams.
  • Coordinate complex calendars, meetings, virtual conferences, and executive appointments across multiple time zones.
  • Prepare agendas, presentation materials, meeting documentation, and follow-up action items.
  • Organize company meetings, leadership events, virtual town halls, and departmental planning sessions.
  • Manage business correspondence, executive communications, and internal announcements.
  • Coordinate travel arrangements, expense reporting, and reimbursement processes when required.
  • Maintain confidential business records, contracts, and corporate documentation with the highest level of discretion.
  • Assist with onboarding activities, employee engagement initiatives, and administrative support for Human Resources programs.
  • Track departmental budgets, purchase requests, invoices, and vendor documentation.
  • Support project managers and leadership teams by coordinating timelines, deliverables, and project documentation.
  • Develop and maintain administrative procedures that improve efficiency and consistency across departments.
  • Prepare reports, dashboards, spreadsheets, and executive summaries using business data.
  • Coordinate document management and maintain accurate digital filing systems.
  • Collaborate with Finance, Legal, Operations, and IT to support daily business activities.
  • Monitor departmental deadlines and ensure timely completion of administrative deliverables.
  • Identify opportunities to automate administrative workflows and improve operational processes.
  • Serve as a primary point of contact for internal stakeholders and external business partners.
  • Support special projects and strategic initiatives assigned by executive leadership.

Job Qualifications and Requirements

  • Bachelor’s degree in Business Administration, Management, Communications, Public Administration, or a related field preferred.
  • 3–6+ years of administrative, executive support, office coordination, or business operations experience.
  • Experience supporting senior leaders or executive management in a corporate environment.
  • Strong proficiency with Microsoft Office Suite, including Excel, Word, Outlook, PowerPoint, and Teams.
  • Experience using Google Workspace, Zoom, Slack, and modern collaboration platforms.
  • Familiarity with project management and productivity tools such as Asana, Monday.com, Trello, Smartsheet, or similar software.
  • Excellent organizational and multitasking skills with the ability to manage competing priorities.
  • Strong written, verbal, and interpersonal communication skills.
  • Ability to handle confidential information with professionalism and discretion.
  • Experience preparing reports, presentations, and business correspondence.
  • Strong analytical and problem-solving abilities with exceptional attention to detail.
  • Self-motivated with the ability to work independently in a remote environment.
  • Experience supporting cross-functional teams within growing organizations is highly desirable.

Working Conditions

  • Fully remote position within the United States.
  • Standard Monday–Friday business schedule with occasional flexibility to support executive meetings across different time zones.

  • Primarily computer-based work requiring extended periods of sitting and screen time.
  • Occasional participation in virtual company meetings, training sessions, and organizational events.

Compensation & Benefits

Compensation Package: $55,000 – $75,000 annually, based on experience, qualifications, geographic location within the United States, and demonstrated administrative expertise.
