Your Role at the Company

As Administrative Assistant, you will provide administrative support to leaders, teams, and business functions while helping manage schedules, communication, documentation, meetings, expenses, records, and operational coordination.

You will be responsible for organizing calendars, preparing meeting materials, maintaining files, coordinating stakeholder communication, processing administrative requests, tracking follow-ups, supporting special projects, and ensuring business support activities are completed with accuracy and professionalism.

You will serve as a dependable administrative partner while maintaining accountability for responsiveness, organization, confidentiality, documentation quality, communication clarity, and timely follow-through.

What You’ll Do

Manage calendars, recurring meetings, department sessions, project discussions, customer-related meetings, vendor calls, internal reviews, and team coordination activities.

Coordinate meeting logistics, including agendas, attendees, materials, virtual links, reminders, notes, action items, and follow-up communication.

Prepare documents, spreadsheets, presentations, reports, trackers, meeting notes, leadership updates, internal communications, and business support materials.

Support leaders and teams by organizing priorities, tracking deadlines, managing requests, coordinating follow-ups, and helping ensure commitments are completed.

Serve as a professional point of contact for internal stakeholders, external partners, vendors, customers, candidates, and cross-functional teams where appropriate.

Coordinate travel arrangements, meeting logistics, itineraries, accommodations, transportation, and related administrative details when required.

Process expense reports, purchase requests, invoices, reimbursements, vendor documentation, and administrative finance items in partnership with Finance or Procurement.

Maintain organized files, records, contact lists, shared drives, documents, project trackers, process notes, meeting materials, and confidential business information.

Support special projects by gathering information, organizing updates, tracking milestones, preparing summaries, coordinating deliverables, and following up with stakeholders.

Partner with Operations, Finance, HR, Legal, Communications, IT, Sales, Customer Success, Product, and other teams to coordinate administrative needs and resolve workflow issues.

Assist with planning team meetings, virtual events, training sessions, employee engagement activities, customer meetings, business reviews, and department workshops.

Improve administrative workflows by identifying scheduling issues, documentation gaps, communication delays, process friction, and opportunities for better organization.

Use modern productivity, collaboration, document management, scheduling, project tracking, expense, and AI-enabled tools to support efficient business operations.

Handle confidential information with professionalism, discretion, accuracy, and appropriate judgment at all times.

What You’ll Bring

5+ years of experience as an Administrative Assistant, Administrative Coordinator, Office Administrator, Team Coordinator, Business Operations Assistant, Executive Support Assistant, or similar administrative support role.

Experience supporting leaders, department teams, project groups, customer-facing functions, operations teams, or cross-functional business environments.

Experience working within enterprise SaaS, AI-enabled technology, cloud platforms, healthcare technology, financial services, professional services, consulting, business operations, or large remote-first organizations preferred.

Strong experience managing calendars, coordinating meetings, preparing documents, processing expenses, organizing files, supporting travel, and tracking follow-up actions.

Excellent written and verbal communication skills with the ability to prepare clear messages, summaries, meeting notes, updates, and stakeholder communications.

Strong technology skills with tools such as Google Workspace, Microsoft 365, Slack, Zoom, Teams, Asana, Monday.com, Jira, Concur, Expensify, DocuSign, Notion, Airtable, Salesforce, or similar platforms.

Ability to support confidential administrative matters, employee information, financial documents, customer details, vendor records, legal-sensitive materials, and internal business discussions with discretion.

Strong organizational skills with the ability to manage multiple calendars, priorities, documents, deadlines, requests, meetings, and shifting business needs.

Experience supporting department meetings, customer sessions, team events, business reviews, training sessions, project updates, or planning activities preferred.

Strong judgment, professionalism, emotional intelligence, problem-solving ability, attention to detail, and follow-through.

Ability to work with Operations, Finance, HR, Legal, Communications, IT, Sales, Customer Success, Product, vendors, and internal business stakeholders.

Associate degree or bachelor’s degree in Business Administration, Communications, Management, Organizational Leadership, or a related field preferred.
